Observation Groups help organise the way you record and track pool or spa data during service visits. They allow you to group related test results, visual checks, or other observations into clear categories, making it easier for your team to log consistent, accurate information.

Observation Groups list page

The Observation Group List is your hub for managing all your observation groups. This is where you can quickly find, edit, activate, or deactivate your custom/system observation groups.

Navigate to Settings → Dosage Groups → Observation groups. As soon as you land on the page, you’ll see a full list of all your existing observation groups.

  1. List filters - You can narrow down the list using any of the available dropdown filters:

    Search for a Chemical Group: Just start typing the chemical or observation name in the search bar, and it’ll narrow the list instantly.
    Application type: Filter the list according to their application type (All, lab, field)

    Type: Select from options like System or Custom.
    Brand: Use the dropdown to filter by chemical brand (e.g. Waterco, Generic).

    Status: Filter by status (Active, Inactive, All)

  2. Toggle Active/Inactive - Switch ON to activate the group so it appears in the tests. Switch OFF to hide it from selection in lab/field views.

  3. Edit or Delete Groups - On the right-hand side of each group entry, you’ll find icons to:

    Edit (pencil icon) – jump into the group and update its settings, exceptions, or linked products.

    Delete (red trash icon) – remove it entirely (if you’re sure you don’t need it anymore).

  4. Set Active by Brand button - This allows you to toggle multiple products active/inactive in bulk by brand.


  5. Add a New Dosage Group button - Click the “New dosage” button on the top right if you want to create a new group.

Create a new observation group


1. To create a new observation group, go to Settings → Dosage Groups → Observation groups.

2. Click on the 'New dosage' button at the top-right corner of the page.


3. Choose which pool types the dosage applies to. Toggle Pool, Spa, or Swim Spa depending on what’s relevant.

4. Under Dosage Name, type a clear name for the dosage group.

Give the dosage group a name to identify it. This can either be a generic category (EG Liquid Chlorine) or a product name (EG Super Duper Algaecide 5000)

Application Type

Set Application Type - This controls where in the app the dosage group appears. Choose All, Lab, or Field, depending on when the group should be visible.

Set Test Type and Report Action.

  • In the Test field, choose the water test this dosage links to (e.g., pH, Chlorine, etc.)

  • Set the Report Action - Add, Apply, None

  • Optionally select a Brand if this dosage is product-specific

Adjust other settings

  • Set as default dosage group if you want this group to apply automatically.

  • Enable dosage calculation if you want Pooltrackr to calculate the quantity based on pool volume and test results.

  • Enable multistep recommendation if more than one product may be suggested for dosing.

Dosage Settings

In the Dosage Settings section, add any message that should appear on the service report when this dosage is used. Toggle Set min dosage volume or Set max dosage volume if you want to define strict limits.

Dosage Exceptions

If you need to define special rules or exceptions for how this dosage is applied, click Add Rule.

  1. Choose a Condition (IF Field):

  • Pool Volume

  • Pool Type

  • Classification

  • Ground level

  • Location

  • Surface type

  • Sanitiser Classification

  • Chemical result

  • Sanitiser

  • pH reducer

2. Set the Operator and value. Type or select the value that applies to the condition. For example, if you're setting a rule based on pool volume, you might enter 30000.

3. In the final dropdown, choose what you want the system to do when this condition is true:

  • Set as default – makes this dosage the default under this condition

  • Do not show – hides this dosage when the condition is met

You can add multiple exceptions to handle different scenarios.

4. Click Update to save every exception.

5. Use the pencil icon to edit a rule, or the red trash icon to delete one if it’s no longer needed.


Link Products

On the right-hand side, you can search for and link products from your database that relate to this dosage. Type a portion of the product name in the search field and then select it.
