Using Store Locations on Jobs, Quotes and Invoices

Jobs and quotes can now be explicitly linked to specific store locations. This is especially helpful for organisations who operate across multiple locations.

This feature helps ensure that the job or quote, their invoice, and water test PDFs will reflect the location that actually delivered the service.

While locations can be assigned for a contact, this feature will allow users to assign a job/quote to another location. This feature also supports staff who covers multiple locations where they will be able to link a job or quote to the right location.

Where Store Locations are used

  • Jobs (both one-off and recurring jobs)

  • Quotes

  • Single and batch invoices

  • Water test results

  • Emails sent from jobs and quotes

The Store Location selected on the parent job or quote will be the default location for the jobs that are part of the series and when converting a quote to a job.

When creating a job or a quote, users can choose which store is responsible for the work.

Jobs and Quotes

The store drop-down will be shown alongside the job type. The location is preselected according to the user's assigned location (if any). If there's no location linked to the user, it defaults to an empty location. This also applies to quotes.

Users can update the location before or after saving the job or quote.

When cloning a quote, the location from the original quote will be inherited by the clone quote. This can also be changed when editing and finalizing the cloned quote.

Water tests (Lab)

It works similarly to the job and quotes. By default, the water test will be linked according to the user who performed the test. You can change it accordingly by clicking on the Store location drop-down.

Editing the location

To edit the location, open the job/quote and update the location directly by selecting one of the locations in the drop-down. Click on Actions > Save.

Note that new location update done on the job/quote will not reflect on the previously generated invoice/quote PDFs related to the job. The changes will only reflect on newly generated invoices and quote PDFs.

For water tests results (Lab), you can edit the location by going to Operations > Lab> Test history. Click on the water test that you want to update.


Click on the Store Location drop-down and select the location. Once selected, click on the Generate report button.

This should generate a new water test result (PDF) with the updated location.

How Store Locations Affect Emails

Invoice, job sheet, water test result and quote emails automatically use the Store Location selected on the job, quote or water test. When sending emails from these modules, the following merge tags automatically use the Store Location linked to the parent job or quote:

{org_name}

{org_address}

{org_email}

{org_phone}

If a Store Location is set on the job or quote, these merge tags will pull the store-specific details, not the organisation's global details. If no location is set on the job/quote, the merge tags will fall back to the organisation's default global details.

How Store Locations Affect Job Sheets, Water tests and Invoice PDFs

Job sheets and invoice PDFs also displays the location specific details selected on the job/quote/water test. This includes store name, store address, phone number, and store email.

Filtering & Exporting by Store Location

Store Locations are available as filters across all supported pages like:

  • Job list

  • Recurrence list

  • Open and Archived quotes list

  • Invoice list (including batch queue and batch invoices)

  • Test history

  • Contact list

  • Dashboard (Analytics and Finance)

  • Pool list

Each of these pages includes a Store Location filter that lets you narrow results to a specific location. On the Pools/Contacts list, the filter applies to the Store Location assigned to the contact. On the Jobs, Quotes, and Water Test history lists, the filter applies to the Store Location set on the job, quote, or water test itself.

When exporting data, any applied Store Location filters are respected. This ensures the data exported is relevant and only include records associated with the selected Store Location.

Store Location behavior

Store Location is stored explicitly on jobs (including recurring jobs), quotes, water tests, and the PDF files associated with them.

Because the Store Location is saved directly on each record, updating a user's assigned Store Location does not modify any existing jobs, quotes, invoices, job sheets, etc. they have previously worked on.

If a Store Location is updated or changed, existing PDFs are not automatically updated. Any invoices, quotes, or job sheets that were already generated will retain the details that were in place at the time they were created. The updated Store Location details will only be applied to newly generated documents and PDFs (for example, when a quote or invoice is regenerated or newly created).
