Create custom, structured service records for every pool visit


Overview

Service Profiles allow businesses to create customised service templates with managed fields that technicians complete while conducting a pool service. These profiles ensure consistent data capture, improve service visibility, and provide a reliable record of pool conditions and actions taken during each visit.

Service Profiles are designed to be fully flexible, allowing teams to record any required pool optics, readings, notes, or service outcomes.


Who Is This For?

This feature is used by:

  • Pool Technicians — to record service details while on-site

  • Pool Shops — to standardise service reporting and maintain accurate service histories

  • Admins - As this is permissions-based.

How Service Profiles Work

A Service Profile acts as a template that technicians complete during a pool service. Each profile contains managed fields configured by the business Admin to capture specific information.

When a technician performs a service:

  1. The assigned Service Profile is loaded

  2. The technician completes the managed fields

  3. The completed profile is saved as part of the service record

This creates a clear, repeatable structure for every service visit.


What Are Managed Fields?

Managed Fields are customizable data entry fields within a Service Profile. They can be configured to capture any information required during a service, including but not limited to:

  • Pool optics (clarity, colour, visible debris)

  • Chemical readings

  • Service actions performed

  • Equipment observations

  • Compliance or safety checks

Managed Fields are completely flexible and can be tailored to suit different service types, customers, or operational requirements.


Creating a Service Profile

To create a new Service Profile:

  1. Log in to the PoolTrackr Web Application as an Admin ( as this is permissions-based and Techs do not have access to Set- up )

  2. Select Set up ->Jobs -> Service Profile

  3. Click on New Service Profile

  4. Input Custom Name for Service Profile

    You can Also Include a description of what exactly will be outlined in the Service Profile.

  5. Press on the Edit button so you can customise the fields that will appear in the Service Report

    Once you are in the service report, you click on Manage Fields

    We can then select what we want on the service log. There are some pre-populated fields, but you can add anything you wish to monitor via the add field button.

    We can create a new Field and customise it to suit what is needed

  6. Once you have created all the Fields you require, you can now use them to collect Data on Jobs.

  7. To enable these, you go to Jobs->Calendar-> New Job-> Enter Contact Details-> Job Type-> Then Service Profile you select your Service Profile -> Schedule the time and date, and Tech assigned -> then Create.

  8. Now you will be able to see the service Profile Data that will need to be filled out to capture the data.
